Primary responsibilities are carrier training, onboarding, management and compliance. Responsible to understand customersâ€™ transportation requirements and deliver training to our external carriers in order to meet those requirements. Provide continuous improvement by ensuring high service levels through analytics, performance measurements and training. Candidate must have proven communication with a strong focus on internal and external customer service to meet business needs.
Tactical Carrier Performance Management
Understand customer requirements referencing each customer BRD document through customer compliant specific metrics and manage carriers performance through a rating system which is the Penske carrier score card
Manage and lead carrier training programs with new and existing carriers with the overall goal of improving timely and accurate communication of load status from the carrier base. Use Carrier on-boarding document (BRD) that is created in conjunction with Sourcing Specialist. Maintain carrier on-boarding document for the customer once we have started up operations with customer and throughout the entire life cycle of the customer
Facilitate communications between carriers and Penskeâ€™s IT and EDI teams where technology issues are identified as root causes to communication failures
Carrier Score-carding / PIP Program Administration
Pull transport data and analytics from BI weekly and interact with ops through in person interactions, phone, e-mail, asking questions to operations to help explain what is happening within the data being evaluated, personnel to identify problem carriers/lanes and determine root cause and corrective action. Be proactive with operations to see if they have any background knowledge that Sourcing might not be aware of with certain carriers based on issues they may see in the data, determine root cause with analysis of carrier and operations information. Investigate and determine root cause.
Monitor carriersâ€™ performance and successfully â€œcoachâ€� deficient carriers back to expected performance
Host a minimum of 10 carrier performance calls per week
Each call should be followed up with notes outlining topics discussed, root causes of performance failures identified, timeline and owners assigned for resolution. These notes must be distributed to operations and sourcing specialists
After training from another CCC or Sourcing management, Compliance coordinator should have full understanding of all support tolls need to support your customer such as MCP, MACS, CARS and how each tool can be used within the carrier compliance role scope
Carrier On-Boarding & Training
Onboard / initiate new carriers. Ensure they have received appropriate training and understand expectations . During a new customer startup, TSS & CCC are gathering customer requirements and creating on-boarding presentation with the template. Compliance Coordinator owns this document through the whole life cycle of the customer. On-going on-boarding as new carriers are added to an existing customer. This could also entail training new staff with current carriers so they are up to speed with Penske expectations. Send PDF copy of presentation to all carriers after on-boarding webinars/training session & CSR user guide & POPs overview (if applicable to that customer).
Deliver training via online, classroom and webinars. Utilize On-boarding presentation template as provided by Sourcing management, use examples of metrics and scorecard CSR training with live examples of test loads and shipment events load information into CSR, and overview of POPS. On seldom occasion this could require classroom for the carriers.
Assist in content development and creation of training materials . Compliance Coordinator should be outlining new customer requirements as customer needs change. Creation of customer specific on-boarding presentation and agenda detailed to specific customer needs
Day-to-Day POC for Operations, Load Planning, and carriers
Assist Operations with capacity and performance as required â€" this would be required if there is an identified lane that needs additional coverage. This direction would come from operations. The carrier might be reaching out that they cannot service a lane any longer. The TSS might also initiate this request to the Compliance Coordinator about need to help with capacity and performance. SPOT metrics might also trigger the need to assist with capacity/performance needs to be explored.
Ensure Carriers have received appropriate training and understand expectations, re-train as necessary â€" examples of this may be triggered based on performance levels of the carrier based on scorecard metrics, if operations is not happy with the lanes being serviced, retrain when root cause issues are explored. Some carrier may need retraining if you see they are not putting information into CSR or POPs and this would trigger the need to refresher training.
1-3 years of transportation industry experience is preferred
High School diploma or equivalent required, Bachelorâ€™s Degree in Logistics, Transportation or related field preferred
Prior experience in training is preferred
Comfort presenting to audience online, or in-person
Strong presentation skills
Ability to analyze, monitor and report on performance data
Ability to work under pressure and meet deadlines
Ability to complete multiple, complex, tasks and assignments
Outstanding oral and written communications skills are required
Strong focus on people and ability to influence without authority
Ability to conduct difficult conversation with carriers
Proficient in the use of Microsoft Outlook, Word, Excel, Access, PowerPoint and Oracle Business Intelligence
Regular, predictable, full attendance is an essential function of the job
Willingness to travel as necessary, work the required schedule, work at the specific location required, complete Penske employment application, submit to a background investigation (to include past employment, education, and criminal history) and drug screening are required.
