ADMINISTRATIVE ASSISTANT I, Center for Transportation & Logistics (CTL)-Supply Chain Management Program (SCM), to perform diverse duties in support of the Supply Chain Management Program (SCM) at MIT, the SCALE Network in CTL, and the new Blended Master's Program in Supply Chain Management. Will perform tasks in support of academic administration, admissions, recruiting/career development, marketing, and program coordination. Administrative responsibilities include responding to inquiries that require a broad understanding of SCM/SCALE policies and procedures; composing and editing correspondence and documents; designing PowerPoint presentations from established content; coordinating complex mass mailings; managing calendars and scheduling diverse and complex appointments and meetings; assisting with travel arrangements; working with the SCM program director to create and manage the schedules for the SCM Annual program, orientation, IAP SCALE program, and the GCLOG summer program; maintaining databases using Excel and recruiting software to record information on students, thesis projects, recruiting activities, and admissions activity; creating filing systems and keeping records-up-to-date; maintaining office supplies; and performing other duties as requested. Will also coordinate routine and high-profile events such as student luncheons, Research Fest, and guest speakers, often replicating established events. Duties will include scheduling space/rooms, preparing handouts; ordering food; handling registration; and attending events to assist with food, registration, and logistics.
REQUIRED: a high school diploma or its equivalent and a minimum of two years' secretarial, office, or related experience. Must be able to anticipate and initiate actions regarding office operations which require knowledge of the Institute, other departments, and the MIT SCALE Network. Bachelor's degree preferred.
